Meeting Notes Template: 7 Free Templates for Every Kind of Meeting
Seven copy-and-paste meeting notes templates: general meetings, one-on-ones, weekly team meetings, client calls, project kickoffs, interviews and decision logs. Plus how to take notes people actually read, and when to let an AI note taker do it.

Most meeting notes are never read. They are too long, they arrive two days later, and the one thing people need, who agreed to do what by when, is buried in paragraph four.
A good template fixes that. It decides in advance what matters for this type of meeting, so the note taker fills in the blanks instead of transcribing everything.
Below are seven templates you can copy into Google Docs, Notion, Word or your note-taking app. Each one is short on purpose.
What every meeting note needs
Whatever the meeting, five things make notes useful:
- Basics: title, date, attendees.
- Purpose: one sentence. If nobody can write it, the meeting probably should not happen.
- Decisions: what was agreed, in plain words. This is the part people search for later.
- Action items: each one with an owner and a due date. "We should look into it" is not an action item.
- Open questions: what is still unresolved, and who will bring the answer.
Discussion notes are optional. Write them only when the reasoning behind a decision will matter later.
1. General meeting notes template
Use this when no other template fits.

2. One-on-one meeting template
One-on-ones work best when both people add topics before the meeting and the notes carry over from week to week.
1:1 - [Name] and [Manager]
Date:
FROM LAST TIME
[ ] Action item - status
[NAME]'S TOPICS
-
MANAGER'S TOPICS
-

-
BLOCKERS AND SUPPORT NEEDED

(Monthly: one thing going well, one thing to work on)
ACTION ITEMS
[ ] Task - Owner - Due date
Keep one running document per person, newest meeting at the top. Six months later, it is the best preparation you will have for a performance review.
3. Weekly team meeting template
A weekly meeting should be short and predictable. This template keeps status updates brief and leaves time for the topics that need the whole team.
TEAM MEETING - Week of [date]
Attendees:
METRICS (2 minutes)
- [Metric]: [this week] vs [last week]
UPDATES (one line each, written before the meeting)

PARKED FOR LATER
-
Ask people to write their update line before the meeting. Then nobody spends meeting time reading a status report out loud.
4. Client call notes template
For sales calls, account reviews and agency intake calls. The goal is that anyone on your team could pick up the account from these notes alone.
CLIENT CALL - [Client name]

Write the client's words, not your interpretation. "We need someone who has done a plant ERP rollout" is more useful in three weeks than "wants ERP experience".
5. Project kickoff meeting template

6. Interview notes template
For job interviews, notes should capture evidence against the role's criteria, not a general impression.

How to take meeting notes people actually read
- Send notes within 24 hours, ideally right after the meeting. Notes sent two days later are notes nobody acts on.
- Put decisions and action items at the top of the message, even if they are lower in the document.
- One owner per action item. "Marketing" is not an owner. A person is.
- Use the attendees' words for anything that could be disputed later.
- Keep notes in one place, linked to the project, client or candidate they belong to, not scattered across inboxes.
When to use an AI note taker
If you spend more than a few hours a week in calls, writing notes by hand costs real time, and it pulls your attention away from the conversation.
An AI note taker joins the call, records and transcribes it, and writes a summary. The best ones go further and fill your own template, so the output looks like the notes you would have written.
Firstview's AI note taker joins Zoom, Google Meet and Microsoft Teams calls from your calendar or from a link. It transcribes each speaker separately, so names stay right even when people talk over each other, and it fills the template you choose for that meeting type, from a weekly review to a client call. For job interviews, it fills your scorecard and files the notes on the right candidate.
Whatever tool you use, review AI notes before you share them, and tell the other attendees that the call is being recorded. In many countries and US states, recording a call needs the consent of everyone in it.
